Managing Prospect Details and Actions in the Inbox Tab

In the Inbox tab, you can do more than just message your prospects: you can view essential details, schedule tasks, and access a variety of features. This guide will walk you through all the options available in the Inbox.


Menu Options

At the top of the conversation screen, you'll find a menu with various options:

  • LinkedIn: View your messages with the prospect synced directly from LinkedIn.

  • Emails: Send emails through OttoMatey and schedule meetings.

  • Dialer: Send SMS messages, call prospects, and leave ringless voicemails. For more details, check out our articles on Dialer/SMS and Voicemail Drops.

  • Tasks: View and manage pending tasks for the prospect, including options to hold, skip, or complete them.

  • Activity: Review the full history of interactions with the prospect.

  • Notes: Add internal notes visible only to you. These notes can be edited or deleted by clicking Edit.

  • Posts: View AI-generated comments left on the prospect's posts. Learn more about AI-generated comments here.

For additional actions, click the three-dot icon in the upper-right corner:

  • Refresh dialog: Refresh the current conversation.

  • Forward to email: Forward the conversation to a specific email address.

  • Not interested: Remove the Lead or Customer designation from the prospect.

  • Push to Pipedrive: Add the prospect to your Pipedrive.

  • Push to HubSpot: Add the prospect to your HubSpot.

  • Push to contacts: Add the prospect to your contacts.

  • Exclude from Campaigns: Add the prospect to the Blacklist.

  • Change Campaign: Move the prospect to a different campaign.

  • Remove from Campaign: Remove the prospect from the campaign.


Messaging Options

Below the menu, you'll see tools to enhance your messaging experience:

  • Magic Wand Icon: Use OttoMatey’s AI Content Assistant to make your messages more creative and effective.

  • Message Button: Access saved messaging templates to quickly reuse or edit existing templates or create new ones.

  • Emoji Panel: Quickly access emojis using the smile button.

  • Calendar Button: Send a meeting link using the native Calendly integration.

  • Clock Button: Schedule your message for a specific date and time.


Prospect Info Card

To the right of the chat box, you'll find the Prospect Info Card with key details about the prospect:

  • Basic Information: Name, position, location, and company details.

  • Labels: Assign custom labels to organize and categorize your prospects. Learn more about labels here.

  • Lead or Customer Marking: Mark the prospect as a Lead or Customer for easier sorting.


Additional Prospect Details

  1. Contacts: View and copy the prospect's relevant contact details.

  2. AI Employees: Assign an AI Employee to manage the conversation by clicking Select.

    • If an AI Employee is already assigned, you’ll see their name and performance stats. You can deactivate or replace them.

  3. Campaign Info: Track the prospect’s current campaign, completed steps, and overall status. Click Open to access the campaign.

  4. Meetings: Review scheduled or past meetings arranged via Calendly. Learn more about Calendly integration here.

  5. CRM Deals: Add the prospect to an existing deal or create a new one.

  6. Work Experience: View the prospect’s detailed professional background.

  7. Custom Fields: Add custom fields to capture additional prospect information. Learn more about custom fields here.
