Integrating Zapier with OttoMatey

OttoMatey integrates seamlessly with Zapier, a powerful tool that connects OttoMatey to apps not natively integrated. This guide will help you connect Zapier to OttoMatey, create your first Zap, and optimize your workflow.


How to Connect Zapier to OttoMatey

  1. Navigate to the Integrations Tab:
    Go to the Integrations section in OttoMatey, select Automation, and click Connect under the Zapier option.

  2. Generate Your Unique Zapier Token:
    After connecting, click Manage to generate your unique Zapier token.

  3. Copy Your Token:
    Copy the token, then log into your Zapier account. Choose Lead Updates from the available apps, and paste the token on Account of the Select the Event page to complete the integration.

  4. Verify the Connection:
    Once successfully connected, your OttoMatey account will appear in Zapier.

Note: The Zapier integration applies specifically to the LinkedIn account linked to your OttoMatey workspace.


How to Create Your First Zap

Step 1: Define Your Trigger

Decide when you want the automation to occur. Ask yourself: "What should trigger this workflow?"

  • In Zapier, pick a trigger from the available options.

Using Labels as Triggers:

If you want to trigger actions based on labels applied to prospects:

  • Go to Integrations > Zapier > Manage > Webhook Settings and toggle on the labels you want to use.

Step 2: Create a Zap with “Add Label” as the Trigger

  1. Set Up the Trigger:

    • Select OttoMatey as the source app.

    • Choose Add Label as the trigger.

    • Connect your OttoMatey account (if not already connected).

    • Click Continue, then Test Trigger, and proceed with the selected record.

  2. Prepare Your Destination (e.g., Google Sheets):

    • Ensure your Google Sheet has appropriate headers, such as:

      • Name

      • Phone

      • Position

  3. Add an Action Step in Zapier:

    • Select Google Sheets as the action app.

    • Under Action Event, choose Create Spreadsheet Row and connect your Google account.

  4. Configure Your Action Step:

    • Drive: Select the Google Drive containing your spreadsheet.

    • Spreadsheet: Choose the specific spreadsheet.

    • Worksheet: Select the worksheet to update.

  5. Map OttoMatey Fields to Google Sheet Headers:

    • Match the headers in your spreadsheet with fields in OttoMatey. Zapier will automatically pull the relevant data from OttoMatey.

  6. Test and Publish Your Zap:

    • Test the step to ensure data flows correctly.

    • Click Publish to activate your Zap.

Step 3: Apply Tags in OttoMatey

  • Go to your OttoMatey account and select the prospects you want to include in your workflow.

  • Apply the designated label or tag to their profiles. Ensure the tags are configured in your Webhook settings beforehand.

Data Sync: Within a few minutes, a new row will be added for each tagged prospect in your Google Sheet.
